Instructions for paper and poster presentations

The conference received nearly 160 abstracts as proposals for paper and poster presentations. The abstracts have been reviewed and the authors informed of acceptance or rejection. Because the conference programme allows only 57 paper presentations, some of the paper proposals were accepted for the poster session. The high quality of proposals promises an interesting and scientifically valuable conference.

The presenters are expected to stay for the whole conference and exchange ideas of their work also outside their own sessions. Therefore, the acceptance of a presentation remains provisional until the presenter has paid the conference fee for the whole conference week.

General instructions

Conference language is English. There will be no simultaneous translation. Please, bear in mind that the major part of the participants will not be native English speakers. Therefore, pronounce clearly and speak appropriately slow.

The best presentations are supported through well-chosen visual material and clear captions. We urgently ask you to choose visual material that clearly illustrates the argument and that can be shown in high quality.

The paper presentations will take place in the Europaea hall and the poster presentations in the Europaea foyer in Marina Congress Centre.  There will be no concurrent sessions in the programme.

Paper presentations

Please hand in your presentation to the conference secretariat at the beginning of the conference, or one day before your presentation at the latest. Use PowerPoint (ppt/pptx) or pdf file format and a USB memory device (or a CD/DVD). It may be a good idea to have a back-up copy with you or to email the file to the organizers (ichc2013@ichc2013.fi) before you travel to the conference, just in case.

The time limit for your presentation is 20 minutes strictly. The session chairmen will be given clear instructions not to allow speakers to overrun their time. Your presentation will be followed by 5 minutes of discussion.

Two computers with Windows 7 and PowerPoint 2011 will be available on stage. They can be projected on two screens that are each controlled independently.

  • This two-screen projection allows different possibilities: For example, you can show at the same time text on one screen and an image on the other one, or an overview image on one screen and a detailed image on the other one.
  • We encourage you to take benefit of this possibility, but please, notice, you have to prepare two separate presentation files, one for the left screen and one for the right one, and design how you’ll synchronize these throughout your presentation.
  • As the screens can be controlled independently from each other, you can, for example, keep an overview image on the left for a longer time and show several different details on the right.
  • screen dimension is 16:9

Please, notice you cannot install any additional software to these computers.

If you have a very specific reason why you would need to use your own computer in the presentation, please, contact the organizers (ichc2013@ichc2013.fi) early enough before the conference so that we can check the compatibility of devices beforehand. Ad hoc use of own computers in the presentations will not be accepted.

We strongly recommend that you do not access the Internet in your presentation because of possible delays. Please use screen snapshots instead. You will have several opportunities to go online after your presentation during the breaks.

If you are using special fonts, please do not forget to save them together with your presentation (save as – options – embedding TrueType).

Keep in mind that all people have your written abstract in their hands, there is no need to repeat everything on your slides and in your oral presentation.

Poster presentations

The mounting space available for your poster is 95 cm x 128 cm (that is width x height; portrait format) or approx. 39” x 49”. Mounting the poster will be easier and the result may look nicer if you prepare your poster on a single sheet.

Posters will be mounted using pins that will be provided on the spot. You should mount your poster during Monday afternoon, July 1. There will be an assisting person available in the Europaea foyer to help and show the stand for your poster.

The poster session will be held on Tuesday morning, July 2. You are expected to be present at your poster during the entire poster session. Please consider adding a small photo to your name in the poster. This will enable the audience to identify you when they want to ask or discuss about your poster.

Please, avoid including large amounts of text in the poster. You can prepare handouts for interested people instead and bring a number of copies with you.

If you want to use a computer at your poster, please, take care of sufficient battery capacity. You cannot plug-in any devices in the poster area.

After the poster session, we encourage you to keep your material in place (except for valuable items) until Friday morning. However, you should remove all your belongings by Friday noon, July 5.
